Getting started: your first week
Owners
Do I need to install anything?
No. FlexMaid runs in a web browser. On a phone you can add it to the home screen so it opens like an app — see Installing FlexMaid on your phone.
Can two people manage the business?
Not today. Each business has one owner login, and everyone else is a cleaner. If you need a second manager, email support@flexmaid.ca and tell us — it helps us prioritise it.
What does it cost?
$9.99 CAD a month, with no per-cleaner charge. See flexmaid.ca/pricing.
Almost always one of three things: the job has no start time and is sitting in the Anytime tray; the job is cancelled or marked no-show; or they are not actually ticked on the job. Open the job and check the crew list.
Can I book a job without assigning anyone?
Yes. Leave every cleaner unticked. The job shows as unassigned on your schedule until you edit it and add someone.
Can I drag a job to a different day?
Yes — drag it on the calendar, and it snaps to 15-minute steps. Dragging a job onto the Anytime tray removes its time instead. On a touch screen, press and hold first.
Why does my schedule only show three days?
Three-day is the default view. Click Week or Work week along the top to see more at once — your choice is remembered for the rest of the day.
Why is the price on this job different from my service price?
The service price is only a starting point. Whatever you typed on the job itself is what the job is worth, and what shows up in your Revenue report.
A run of occurrences is created when you set the series up, so you will see them on the schedule immediately rather than having to wait for each one.
When does a series stop?
When its last created visit has passed. Visits are created about three months ahead at setup and nothing extends the series after that, so check the Recurring page — a series near its end says **Runs out soon**, and opening it shows the date of its last visit.
A client is pausing for the summer. What do I do?
Cancel the individual occurrences you are skipping. They stay on your schedule greyed out and disappear from the cleaner's phone.
I changed the cleaner on a recurring job and it went back to the old one the following week.
That is expected. Each occurrence is its own job, and an edit only touches the occurrence you edited.
Not today. Each business has one owner account, and everyone else is a cleaner. Existing accounts that were made managers before this changed still work.
A cleaner forgot their password.
They can use the forgot-password link on the login page, or you can set one for them from their page on the Team list. The second way is faster and does not depend on email.
Does removing a cleaner delete the hours they worked?
No. Hours and job history stay, so your payroll and reports for past periods do not change.
Can a cleaner see other cleaners' jobs or pay?
No. Cleaners see their own assigned jobs and nothing about anyone else's hours or rates.
A location stamp is recorded with a clock-in when the cleaner's phone allows it, and you can see it on the Time Tracking report. There is no live map of where people are.
A cleaner forgot to mark a job completed.
They will see it under "Still to log" on their Time page for days afterwards, and can enter the hours then. Or you can set the times yourself on the job.
Times on my timesheet look several hours off.
Check your time zone under Settings → Business. Every time in the app is displayed in that zone.
Does En Route notify the client?
No. Nothing is sent to clients automatically. En Route is there so you can see the day moving.
It needs to be Completed and have both a start and an end time. If the cleaner never logged theirs, the job has no duration to report.
Can I see a single cleaner over a whole month?
Yes — set the date range on the Time Tracking report and read their line under Hours by Cleaner.
Is "Money Owed to You" what I owe my cleaners?
No — it is the opposite. That section is money your clients still owe you: completed but not invoiced, invoiced but unpaid, and overdue. Wages are in Hours & Pay by Employee, just above it.
When does the reporting week start?
Monday, running through Sunday. The Reports page says the exact dates it is covering under the heading.
Does FlexMaid pay my cleaners?
No. It tells you what is owed. Paying is up to you.
Does revenue include tax?
It totals exactly the prices you put on your jobs. If your prices include tax, so does the report.
Pull down to refresh first. If it is still not there, ask your manager to check that you are assigned to it and that it has a start time — jobs with no time set do not show up for cleaners.
Can I see other cleaners' jobs?
No. You only see the jobs you are on.
Do I need to install an app?
No, but you can add FlexMaid to your home screen so it opens like one. See Putting FlexMaid on your phone.
If it was within the last 7 days, it is still under "Needs Time Logged" on your Time tab — enter it there. Anything older has dropped off that list, so tell your manager and they can put the times in for you.
It says end time must be after start time.
Check AM and PM. This usually means a finish time that reads as earlier in the day than the start.
Can my manager change my hours?
Yes, they can correct times on a job. The change is recorded.
Do I need signal to log my time?
Yes — it saves straight away, so you need a connection. If you have none, do it when you get signal back.
Not from inside the app. Managers should email support@flexmaid.ca; cleaners should ask their manager.
The password reset email never arrives.
Check spam first. Cleaners can ask their manager to set a password directly from the Team page. Managers who are stuck should email support@flexmaid.ca from the address on the account.
Is there two-factor authentication?
Not yet. If it matters for your business, email support@flexmaid.ca and say so — it helps us decide what to build next.
How long do I stay signed in?
Indefinitely on a device you keep using. You are signed out if you clear your browser data, or if a manager deactivates your account.
